Getting involved as a Student Coordinator

 
Becoming a Student Coordinator is a great chance for your vision to really shape your scheme. If you would like to find out more information about what the role will consist of, have a chat with your current Student Coordinators or the Intern who works with your scheme.
 
As a PASS or Peer Mentor Student Coordinator you will be in charge of organising events for your scheme and supporting your PASS Leaders or Peer Mentors. Your role will be more strategical and involve developing your scheme, working closely alongside the Academic Staff and Peer Support Interns to do this.

As a PASS or Peer Mentor Student Coordinator you will be in charge of organising events for your scheme and supporting your PASS Leaders or Peer Mentors. Your role will be more strategical and involve developing your scheme, working closely alongside the Academic Staff and Peer Support Interns to do this. The skills that you will gain from this will be similar to Leading and Mentoring, but with a stronger emphasis on people management, event management, communication and organisation skills.

You will also have a wider network of support from other Student Coordinators and Staff and your role will be even more rewarding and insightful as you develop your scheme and leave your mark. Student Coordinators play a vital part in the running of a successful scheme.

The Role of a PASS Student Coordinator

As a Student Coordinator you are responsible for promoting the scheme within your discipline and you will become a regular point of contact for the Staff Coordinator(s), Leaders and Peer Support Interns.

Our Expectations of you

You will be responsible for helping your Leaders and ensuring that they have the best possible experience. You will run weekly debriefs which will be attended by all your Leaders, the Staff Coordinators, and the Peer Support Intern. Debriefs are important because:

  • You can ensure that the registers are completed
  • You can find out how the Leaders are doing, if they have any problems, and how you could overcome these as a team.
  • Inform leaders of any news, and receive updatesfrom the Interns.
  • You can feedback the first year experiences to the Academic Coordinator.
  • Leaders can network with other leaders.
  • They are a place to organise socials.

As a Student Coordinator you will support your Leaders and develop your scheme, this is paired with the freedom to becreative and develop the scheme. Some of the most successful Student Coordinators have been those who have put effort into developing new and interesting ways to enhance the experience of students on their course.

Student Coordinators MUST:

  • Recruit Leaders (with help from the Academic Coordinator and Peer Support Intern).
  • Attend all Coordinator Workshops.
  • Work with staff coordinators to assign Leader groups.
  • Support Leaders by running debriefs.
  • Ensure there is an online group (E.g. Facebook, WhatsApp) where Leaders can readily share information with each other.
  • Ensure PASS registers are completed by Leaders and are easily accessible to the Peer Support Intern (For example, using online Microsoft Excel spreadsheets).
  • Work with Leaders to organise events and activitiesfor the scheme.
  • Produce handover information for the next Student Coordinator at the end of the academic year.
  • (If applicable) Create Pre Arrival Guides for next academic years new students.

Support and Opportunities for you

Peer Support Interns are there to ensure the maintenance and development of the scheme and that your personal goals and plans for the scheme are achieved. It is important that you keep in touch with them so they can help you with this.

Student Coordinators are all required to undergo Student Coordinator Training at the start of the year. There will also be Coordinator Workshops throughout the year where all Coordination team (Academic, Admin, and Student Coordinators) will be invited to attend or deliver a workshop around key themes which your scheme may need help in. All PASS Coordination teams across the University will also be present so will be a great place to share good practice.

We also provide paidvolunteering and training opportunities (some of which will only be advertised to Coordinators) and chances to represent the University at different events.

Most importantly the role of Student Coordinator is a commitment with responsibilities, but students report it to be a fun role!

What training is required of a student wishing to be a Student Coordinator?

To prepare you with the skills you will need to be a great coordinator, we run a compulsory programme of training sessions, beginning with an initial session that covers the basics of your role and followed with ongoing sessions that cover in more detail topics around events/budgeting, debriefs and participation.
 
In this training, we will also explore how you will put your vision into action and give you the chance to develop skills for managing difficult scenarios. 
 
Once you've signed up to be a Student Coordinator, you will be contacted when you're able to sign up for training

Can any Student Coordinators continue in their role if they so wish and do they have to complete training again?

Of course, any Student Coordinator can return to their role if they'll still be at the University! They do not need to complete all training again, only the final Meet Your Scheme session. However, we do recommend returners reflect on their training, as well as their experiences last year, and revisit some resources to keep the content fresh in their mind.

Our scheme has students who would like to be Peer Mentors that are on placements in industry or abroad. What happens here?

This is absolutely fine. They will need to commit to completing their training as soon as they can and this can be discussed with a Student Engagement Intern or by emailing Peer Support. Training must be completed before they are allocated a group of Mentees.

Does training have to be completed in a certain order or by a certain time?

Yes. Students must complete their three training sessions in order, and all training must be completed before Coordinators can interact with their Peer Mentors/ PASS Leaders. As such, we highly recommend you sign up for your first available session!
